This policy explains how we use artificial intelligence (AI) and look after your information when we deliver consulting and implementation services. It forms part of our Terms for consulting engagements. Our Privacy Policy explains how we handle personal information more generally.
1. How we use AI
We use AI tools to help us deliver our services, including research, analysis, drafting, documentation, and building systems and automations for your business. AI supports our work; it does not replace our judgement. We review AI-assisted work before we rely on it or deliver it to you, and AI tools do not make final decisions about your business without a person reviewing them.
2. How we protect your information
We take reasonable steps to keep your information safe, including:
- only using reputable AI and software providers that have their own privacy and security safeguards in place;
- only using your information where it is needed for the agreed work, and limiting what is shared with AI tools to what is reasonably required;
- limiting our access to your systems to what the work requires, and keeping each client's information separate;
- storing passwords and access credentials securely, and never sending them in unsecured messages or documents; and
- not allowing your identifiable information to be used to train general AI models unless you have agreed to it.
If we become aware of a security incident affecting your information, we will tell you promptly and work with you to contain it.
3. Your choices
If you do not want us to use AI tools, or to connect directly to your systems, for some or all of your information, tell us before the engagement starts. We will record the agreed restriction in your engagement schedule and respect it. Because AI tools are part of how we deliver our services, a restriction may affect the scope, timing or fees, and we will explain this before work begins.
We only record or transcribe meetings when participants have been told and have agreed.
4. Overseas providers
Some of the AI and software tools we use are operated by providers outside Australia and may store or process information overseas under their own privacy and security terms. Our Privacy Policy explains this in more detail.
5. At the end of an engagement
When the engagement and any support period end, we hand over your assets, deliverables and documentation, remove our access to your systems, and delete the working copies of your information we hold within 30 days. We keep only the records we are required to keep by law, and only for that purpose. Your own systems and records stay with you.
